How to make your business unambiguous to a machine

This page is for the owner of a local business whose name, category or address shows up differently on different sites. After reading it you will be able to see your business the way an assistant sees it and line up every listing.

In one paragraph

Entity clarity means that every place an AI assistant might read about your business, it finds the same name, the same address, the same phone number, the same category and the same website, so it can be sure the listings all describe one business. An assistant that finds Ridgeline Homes on one site, Ridgeline Custom Homes LLC on another, two addresses and two categories will, in our testing, either merge you with someone else or leave you out to be safe. The fix is to pick one version of each fact and make the site, the Google Business Profile, the directories and the schema on your pages all say it.

What entity clarity means for a business

To a search index, your business is an entity: a record with a name, an address, a phone number, a category, a website and a set of things it is known for. Google builds that record from your site, your Google Business Profile and every directory that mentions you. Bing builds its own from the same sources. An AI assistant reading either index is relying on that record to decide whether the builder mentioned in a news story, the builder on a directory and the builder on your website are the same company.

When the facts agree, the record is clean and the assistant can name you with confidence. When they disagree, the assistant has a choice. It can guess, which is how a business ends up named with the wrong phone number. Or it can skip you, which is what we have observed happens more often.

This overlaps with the older SEO work of name, address and phone consistency, and the same corrections apply. The difference is that an assistant also reads the category, the description and the schema on your pages, and it reads them as sentences, so a mismatch in any of those counts too.

What an ambiguous business looks like for a home builder

Ridgeline Homes builds in Kuna and Nampa, with lots from $410,000 in its current community and about 30 closings a year. It has been in business for eleven years.

The website header says Ridgeline Homes. The footer says Ridgeline Custom Homes LLC, which is the legal name. The Google Business Profile was set up by a former office manager under Ridgeline Homes Inc, with the category Construction Company and the address of the model home, which moved two communities ago. The Better Business Bureau listing shows the office address in Meridian with the old phone number. Houzz lists Ridgeline Homes of Idaho. The LocalBusiness schema on the site was left at the theme default and names the business as Home.

When a buyer asks Gemini which builders have lots available in Kuna under $450,000, the answer names two builders and describes a third as Ridgeline Custom Homes, based in Meridian. The phone number given is the old one. The buyer calls it and gets a fax tone. Nothing about the company is unclear to anyone in Kuna, and everything about it is unclear to a machine.

A worked example: one builder, five listings, made to match

Here is what an assistant found about Ridgeline when it looked, laid out across the places it was most likely to read.

The owner chose one version of each fact. Ridgeline Homes as the public name, with the LLC name only on contracts. The current office in Kuna as the address. One phone number. Home Builder as the category on Google, matched as closely as each directory allowed. The primary domain everywhere. Then every listing was edited, and the schema on the site was rewritten to carry the same five facts.

Six weeks later the same Gemini prompt named Ridgeline Homes in Kuna, with the current phone number and a sentence about lots from $410,000 lifted from the community page. ChatGPT, which had not named the builder at all, named it in four of ten runs.

How to check your own business for entity clarity

  1. Search your business name in Google in quotes, with your town, and open every result on the first two pages. Write down the name, address, phone, category and website each one shows. Do the same search in Bing, because Bing often holds older listings Google has dropped.
  2. Open your Google Business Profile and note the exact name, the primary category and the address. Compare it to the header of your website and the footer of your website. Any difference, including LLC or Inc, counts.
  3. Paste your homepage address into Google’s Rich Results Test at search.google.com/test/rich-results and look at the LocalBusiness or Organization block. The name, address and phone there should match the profile. If the block is missing or says something generic, the LocalBusiness schema page shows what to put in it.
  4. Ask ChatGPT and Gemini: What is the phone number and address for [your business] in [your town]? If either answer is wrong, one of the listings you found is feeding it, and you now have the list.
  5. Check the directories that matter for your trade. For a builder that is BBB, Houzz and the local home builders association. For a clinic it is Healthgrades and the insurer directories. Claim each one and edit it to match.

What we do about entity clarity

You will get a table like the one above, built from every listing of your business that Google and Bing return, with each mismatch marked. One version of each fact is agreed with you, and then the site, the schema on every page, the Google Business Profile and each directory are edited to match it. Listings that cannot be edited are reported to the directory for correction, and duplicates are closed. Each month the table is rebuilt so a new listing with the wrong details is caught early. This is part of every site audit, which is where the work starts.

What is entity clarity in SEO and GEO?

Entity clarity means a search index and an AI assistant can tell without doubt that every mention of your business on the web refers to one company, because the name, address, phone, category and website match everywhere. When they do not match, the index may split you into two records or merge you with another business, and clear entities are named more often.

Does my business name need to match exactly everywhere?

Yes, the public name should be identical everywhere, including whether it carries LLC, Inc or a town name. Use one version on your site, your Google Business Profile and every directory, and keep the legal name for contracts and the footer. Small differences are what cause an index to treat one business as two.

Why does ChatGPT give the wrong phone number for my business?

ChatGPT gives a wrong phone number because a listing in Bing's index still carries an old one, and the assistant quoted that listing. Search your business name in Bing and open every result until you find the number it used. Correct or close that listing, and the assistant will pick up the change once Bing recrawls it.

What is the difference between NAP consistency and entity clarity?

NAP consistency covers name, address and phone matching across listings, and entity clarity adds category, website, description and the structured data on your own pages. An assistant reads all of them as sentences, so a matching phone number with a mismatched category still leaves doubt. Fixing NAP is the first half of the job.

Does schema markup help AI assistants understand my business?

Schema markup gives an assistant's index a machine-readable statement of your name, address, phone, category and hours, which removes doubt when the rest of the page is written for people. It does not put you in an answer on its own. It makes the record clean, and in our testing clean records get named with the right details more often.
